(Hybrid/Flexible Work Schedule, Some Travel Required, must physically reside in the Houston area)

 

FIRST COLONY SWIM TEAM (FCST)

FCST is a 501(c)(3) non-profit organization founded in 1981 offering developmental, competitive and masters swimming programs for youths and adults.  Primarily serving the Sugar Land and Katy areas, FCST has a current annual membership of approximately 800 swimmers and is currently a USA Swimming bronze-level club, considered to be one of the top clubs in Gulf Swimming, and has helped produced state and national champions, collegiate and Olympic swimmers, and is ranked among the top 40 swimming teams in the country.  FCST serves the community by teaching teamwork, sportsmanship, integrity, commitment, passion and performance.  Find out more at www.swimfcst.com.

 

MAIN DUTIES/RESPONSIBILITIES:  

FCST is currently searching for an exceptional, high-impact Business Manager to join our team.  Reporting directly to the FCST Board of Directors (Board), on the same level and reporting line as the FCST Head Coach, the role of the Business Manager is to manage all administrative, financial, marketing, and stakeholder relationships, including vendors, partners, organizations and members, and constantly strives for the betterment of the team in close partnership and collaboration with the Head Coach and coaching staff.  The Business Manager will play a crucial role in helping to achieve the aggressive FCST vision of continuous improvement by translating Board directions into actionable plans and handling all critical team administrative back-office responsibilities, so our coaches can focus on coaching.

The successful candidate will be an excellent communicator, able to form deep working relationships with the Head Coach and coaching staff to anticipate needs, solve problems, proactively prepare the team for the future, and represent FCST with stakeholders, leading by example, and embodying the values of FCST.  A can-do, servant-leader attitude which aligns with our non-profit status combined with business acumen and administrative expertise and efficiency will be critical for success.

 

CRITICAL TASKS

  • Governance & Strategy: Prepares all Board materials, meeting agendas, and regularly reports the business status and performance of the team to the Board.
  • Coach & Program Support: Supports administrative and business implementation and support of coaching staff needs, fosters communication between members, partners, vendors and staff.
  • Administration & Office Management: Oversees registration, billing, scheduling, payroll, personnel files, benefits and basic IT infrastructure.
  • Finance & Budgeting: Monitors adherence to financial budget, oversees accounting activities and systems, executes appropriate tax filings, ensures transaction transparency and accuracy, champions compliance with all non-profit and USA Swimming requirements.
  • Communications & Branding: Crafts and edits internal communications, collaborates with staff on newsletters, announcements, alerts, social media and team website.  Drives marketing and recruiting campaigns, supports fundraising and sponsorship activities, monitors and creates strategies to achieve team growth goals.
  • Stakeholder Engagement: Builds strong relationships with members, sponsors, vendors, and partners, professionally represents FCST at events, functions as meet director when appropriate, ensures appropriate volunteer coordination, and leads onboarding of new members, staff, and volunteers.

  • Effective oral and written communication
  • Excellent interpersonal and collaboration skills, builds stakeholder trust and relationships
  • Extremely organized, able to plan out process improvement plans and monitor adherence to requirements
  • Knowledge and experience in business administration, office management, and financial practices
  • Team player who takes initiative, strives for continuous improvement, able to think and act independently, challenges positively, can counsel and provide advice to all stakeholders
  • Must have strong proficiency with Microsoft Office, knowledge and abilities with accounting, payroll, and systems management
  • Must become the internal expert on all team policies and practices
  • Maintains knowledge of governmental and governing body reporting requirements and regulations affecting the team.

 

QUALIFICATIONS

  • Minimum five years’ experience in activities relevant to the role
  • Bachelor's degree preferred
  • Competitive swimming experience preferred but not required
  • Able to work and travel in accordance with meet requirements
  • Clean driving record and ability to provide proof of the right to work in the United States required
