Job Description

Carrollwood Village Swim Team is a board-governed, 501(c)(3) non-profit swim club in the neighborhood of Carrollwood in Tampa, Florida.  We have a unique partnership with Carrollwood Country Club, utilizing their pool/facilities. In addition, we have a sister team, located at Heathrow Country Club in Lake Mary, Florida.  We serve a growing community of 70+ competitive swimmers (ages 6–18) and a Master’s program.

Our mission is to build strong swimmers and strong individuals through discipline, accountability, and perseverance.

We are seeking a Head Coach who brings both technical expertise and leadership presence. This role requires someone who can develop athletes at every level, lead and align a coaching staff, and partner with the Board to move the program forward in a thoughtful and sustainable way.

Key Responsibilities

Athletic Leadership and Program Development

·         Lead and execute a long-term athlete development plan across all levels, from novice to national-level swimmers

·         Maintain a structured goal-setting process, including athlete meetings and seasonal benchmarks

·         Serve as lead coach for senior and elite groups while maintaining visibility across all practice groups, as well as the Heathrow team in Lake Mary.

·         Oversee dryland and strength training programming appropriate for each level.

·         Build and manage an annual competition schedule aligned with team goals

·         Complete meet entries and registrations on time and accurately; meet with assistant coaches and swimmers to make sure swimmers are swimming a variety of events at meets; attend and coach all meets.

·         Perform specific aspects of Meet Management in conjunction with the Co-Meet Director including but not limited to identifying potential meet dates, reserving facilities, and coordinating with facility staff to ensure access to locker rooms, spectator areas, timing systems, and other necessary spaces. Determine the meet format and align it with team and community. Secure official sanctioning and ensure all rules, safety policies, and special conditions are met. Recruit and supervise key personnel, including the Meet Referee, Administrative Official, timing system operators, starters, stroke and turn judges, and volunteers. Handle swimmer entries, verify registration and waivers.  Manage deadlines, check for completeness, and ensure accurate event information.  Responsible for setting up the pool, timing systems, lane markers, starting blocks, and other equipment and ensure safety measures, such as non-slip surfaces, proper depth, and emergency access, are in place (when the meet is at our home pool). Organize ribbons, medals, or trophies, and coordinate hospitality for officials, volunteers, and participants. Manage financial records, including facility rental costs and other expenses.

Communication and Community Engagement

  • Serve as the primary face of Carrollwood Village Swim Team for athletes, families, and the community
  • Communicate clearly and consistently with families regarding expectations, progress, and program updates
  • Promptly communicate with swimmers and parents including meet information, results, and feedback.
  • Maintain and update Team’s website and social media platforms.  Consistently post on team’s social media platforms promoting the team’s achievements and activities.
  • Update swimmers’ times after meet participation to ensure the most accurate records.
  • Partner with the Board of Directors by providing regular updates on performance, staffing, and program needs
  • Represent CVST within Florida Swimming and the local community to support recruitment and growth
  • Working relationships with Team Administrator and Team Committee Chairs to complete organization goals

Staff Leadership and Development

  • Recruit, mentor, and evaluate assistant coaches
  • Lead regular staff meetings to ensure consistency in coaching philosophy and execution
  • Support ongoing coach education and professional growth
  • Responsible for disciplinary action when needed

 

Operations and Compliance

  • Assure the operation of a safe and effective aquatic environment.
  • Ensure full compliance with USA Swimming Safe Sport and MAAPP policies
  • Maintain a safe, inclusive, and accountable team environment
  • Demonstrate mature judgment, reliability, availability, and ethical behavior including punctuality, confidentiality, positive and constructive feedback, and ability to function in a multi-task environment.
  • Know how to set-up and run the team’s Daktronics Timing system. Always keep the system in good repair so that the equipment is ready to be used and in working condition.

Qualifications

  • 10+ years of competitive coaching experience
  • Prior Head Coach or lead site experience preferred
  • Proven ability to develop swimmers across multiple levels
  • Bachelor’s degree required; advanced degree is a plus
  • USA Swimming Coach Member in good standing
  • ASCA Level 3 or higher preferred
  • CPR/AED, First Aid, and Lifeguard certifications (or ability to obtain)
  • Experience with Team Unify (Sports Engine Motion) preferred
  • Strong understanding of LSC operations and meet structures preferred

Compensation and Benefits

  • $65,000 - $72,000 base salary; commensurate with experience (combined salary with Carrollwood Country Club Tennis and Aquatic Center Director)

  • 5% of Net income of 3 hosted meets (Boys and Girls Club National Championships, Sweetheart Meet and Tampa Bay Swim Classic) if outlined Meet Manager duties are performed and completed.

·         Unscheduled Absences: Up to two (2) sick or unscheduled absences are allowed per session (3 sessions per year = 6), the Head Coach is responsible for finding coverage for his/her practice group for these absences.  Also, the Head Coach must notify the Team Administrator and/or Board Member.

·         Paid Time Off: Paid time off is fourteen (14) days annually. Usually, this time frame coincides with the time frames that the team is scheduled off which is at the end of the swim year, late July to early August.  However, the team also takes some time off around Christmas and during Spring Break.  Time off that does not coincide with the Team’s scheduled breaks should be requested two weeks in advance and approved by the Board.

This position has 2 roles, making it a full-time position with dual reporting and job functions. 

Carrollwood Country Club Tennis and Aquatic Center Director

As the TAC Director, you will be responsible for, but not limited to, directing all phases of the TAC with a strong focus on member satisfaction, revenue generation, organization, managing payroll, planning, quality standards, sanitation standards, service delivery, hiring lifeguards and reception staff, accountability and scheduling, program building, swim lesson offerings, TAC presentation, fitness and aquatics equipment assessment, management and oversight of third party “lead” fitness director and perform other duties as assigned.  You will be a key liaison in developing and managing the TAC at Carrollwood Country Club.    This is expected to be a 25–30-hour work week but the position is paid for 40 hours at approximately $19/hour. Plus, a $75 cell phone allowance.
